# Reservations & rates: questions and answers

bedsKey cannot double-book: overlap protection is enforced by the database itself. It sells whole rooms or single beds from one calendar, and its rate engine handles seasonal, derived, occupancy-based, promotional, length-of-stay, channel and corporate pricing, with rule-based auto yield inside a floor and ceiling.

## Availability & bookings

### Can bedsKey double-book a room?

No. Overlapping bookings are blocked by date-range constraints in the database itself, not by application code, so two staff members can never sell the same room for the same night. Your website booking engine uses the same path as the front desk, and a channel booking that does not fit waits in an overbooking queue instead of being lost.

### Can I sell individual beds in a dorm?

Yes. bedsKey has true bed-level inventory: sell a single bunk in a shared dorm and private rooms from the same calendar. See [bedsKey for hostels](https://bedskey.com/solutions/hostels/).

### Can one booking include several rooms?

Yes. A multi-room reservation holds several rooms for one guest on one folio. Guests can also book several rooms in one checkout on your booking engine.

### How do I extend or shorten a stay?

Change the departure date without cancelling. Nights already agreed keep their agreed rate and only added nights are priced.

### Can I upgrade or downgrade a booking to another room type?

Yes. The stay re-prices and both totals are shown, so the difference can be quoted to the guest. If the guest is already in-house, nights already spent keep their rate and only the remaining nights re-price.

### Which reservation statuses does bedsKey use?

Enquiry, tentative, confirmed, checked-in, checked-out, cancelled and no-show, with a full status history on every booking.

### How are cancellations and no-shows handled?

Cancelling releases the inventory immediately. The night audit flags no-shows automatically. Cancellation and no-show fees follow a sliding scale set per rate plan, and the fee is quoted in full before the guest cancels. ### Can I close a room type or dates for sale?

Yes. Stop-sell and closeouts close a room type or a date range in one action.

### Is there a waitlist?

Yes. When you have to say no, take the guest's name. When rooms come back on sale, matching guests are surfaced, oldest first.

### How do group bookings and rooming lists work?

Create a group hold per room type per night, with a cut-off date and a pinned group price. When the organiser sends the rooming list, fill the hold from it in one step. Partners can also book out of an agreed hold through the [partner API](https://bedskey.com/features/partner-api/).

## Rates & revenue management

### What kinds of rates can I set up?

Seasonal and date-range rates, independent prices per room type and rate plan, derived rates, occupancy-based rates, length-of-stay restrictions, promo codes, channel-specific rates, corporate contract rates and rule-based auto yield, all in one rate engine.

### How do derived rates work?

A derived (child) plan follows a parent by a percentage or a fixed amount. For example, Non-refundable = BAR − 10%. Change the parent and every child follows. See [what BAR means](https://bedskey.com/glossary/best-available-rate/).

### Can I price by the number of guests?

Yes. Occupancy-based pricing sets single, double, triple and quad rates, plus extra-adult and child tiers.

### Does bedsKey support minimum stay, CTA and CTD?

Yes. Minimum and maximum stay, closed-to-arrival and closed-to-departure are set per date and per rate plan. Read [CTA and CTD explained](https://bedskey.com/glossary/cta-ctd/).

### How do promo codes work?

A code can take a percentage off, a fixed amount off or give free nights. Each code has booking and stay windows, a minimum stay and a redemption limit.

### What is auto yield, and is it AI?

Auto yield is rule-based, not AI. You set rules that move the price as the hotel fills and as arrival approaches, and the price always stays between a floor and a ceiling you choose. An AI revenue assistant also suggests prices for you to review.

### Can I charge different prices on different channels?

Yes. Separate prices can be set for OTAs, corporate accounts, walk-ins and your direct website, and the channel manager pushes each channel its own price.

### How do corporate contract rates work?

Attach a negotiated rate plan to a company account and it is enforced on every booking for that company. Company accounts also carry credit terms for [city-ledger](https://bedskey.com/glossary/city-ledger/) billing.

### Can I change prices for many dates at once?

Yes. The rates grid pushes new pricing across a date range, several room types and several rate plans in one operation.

### Can a rate plan include breakfast or transfers?

**Yes.** Inclusions such as breakfast or transfers can be bundled into a rate plan. Extras can still be posted to the folio as separate charges.
