# What is a hotel PMS (property management system)?

**In short:** A hotel property management system (PMS) is the software a property uses to run its daily operations: taking reservations, checking guests in and out, tracking room status, posting charges to a guest folio and closing each business day with a night audit. It is the system of record every other hotel tool connects to.

## What a PMS does

A PMS replaces the reservation book, the room-status whiteboard and the billing spreadsheet with one shared system. The core jobs are the same at a 12-room guest house and a 300-room resort:

- **Reservations and inventory** — which rooms (or beds) are free on which nights, at what price, and who has booked them.
- **Front desk** — arrivals, check-in with guest identity details, room assignment, room moves and check-out.
- **Housekeeping** — which rooms are dirty, clean or inspected, and which are out of order.
- **Billing** — a running folio of charges, taxes and payments for every stay, plus invoices for companies billed later.
- **Night audit** — posting the night's room and tax charges and rolling the business date.
- **Reporting** — occupancy, ADR, RevPAR and revenue by day, month or segment.

## PMS vs channel manager vs booking engine

The PMS holds the truth about inventory and money. A **channel manager** copies rates and availability out to online travel agencies and brings their bookings back. ## Cloud PMS vs on-premise PMS
