Where spreadsheets are enough
Be honest about the small end: a guest house with a handful of rooms, one owner taking every booking by phone and no online channels can run on a spreadsheet and a receipt book. It is flexible, free and familiar.
Signs you have outgrown spreadsheets
- Two people have booked the same room for the same night.
- Bookings arrive from your website, an agency and walk-ins, and someone has to copy each one across.
- Month-end takes days because charges, taxes and payments do not reconcile.
- You cannot say who gave a discount or deleted a charge.
- You want prices that change with season or occupancy, and the spreadsheet cannot keep up.
What moving to a PMS involves
With bedsKey, the sequence is: contact sales, discuss requirements, receive a proposal, sign and pay activation, then the implementation team configures the system for your property. Every new property gets two months of dedicated 24/7 support from a Technical Manager covering setup, training and daily operation.
Cost comparison
A spreadsheet is free, but staff time and mistakes are not. bedsKey is priced per active room per month, with a flat USD 10 in months with 1 to 30 bookings and USD 4 in a month with no bookings; the pricing page shows the exact rules and a calculator.
