What is a hotel PMS (property management system)?

In short: A hotel property management system (PMS) is the software a property uses to run its daily operations: taking reservations, checking guests in and out, tracking room status, posting charges to a guest folio and closing each business day with a night audit. It is the system of record every other hotel tool connects to.

What a PMS does

The PMS holds the truth about inventory and money. A channel manager copies rates and availability out to online travel agencies and brings their bookings back. How to choose a hotel PMS

Question to ask Why it matters
Can two staff members ever sell the same room for the same night? Double bookings are the most expensive PMS failure.
Does it handle your inventory type (rooms, dorm beds, apartments)? Hostels need bed-level inventory; serviced apartments need long stays.
How are rates built: one price field, or seasons, derived rates and restrictions? Revenue depends on pricing flexibility.
Does billing use exact decimal arithmetic, with taxes you can configure? Rounding errors surface at night audit and in tax filings.
Who can discount, void or refund, and is every change recorded? Permissions and an audit trail protect revenue.
What does onboarding include? Setup and training decide how fast staff adopt it.

Do small hotels need a PMS?

Once more than one person takes bookings, or bookings arrive from more than one source, a spreadsheet can no longer guarantee that a room is sold only once. A PMS makes the availability calendar, folio and night audit shared and consistent.

Is a PMS the same as a channel manager?

No. The PMS manages inventory, guests and billing inside the property; a channel manager distributes rates and availability to external booking channels. bedsKey includes both.
